Welcome to Montana Campus Network for Civic Engagement and AmeriCorps! The following are the steps to get enrolled and become an official AmeriCorps member. The process has several steps, so please contact Kate Primmer if you have questions or require assistance.
Paperwork for employment and living allowance
Following are the documents you must fill out in order to be enrolled into the University of Montana payroll system to receive your living allowance checks. Once you have completed the forms, you must upload them to MCNCE’s secure site on Submittable. Do not send forms via email.
It is recommended that you print the forms and complete them by hand, this allows you to retain copies for making easy corrections during your visit to University of Montana Human Resources. If you would like to fill out the forms digitally, download them to your computer and save them as separate files. When signing forms electronically, please use the Fill & Sign tool in Adobe Acrobat Reader (available to download for free).
Forms that are printed and completed by hand may be scanned, or they may be photographed (e.g. with a cell phone). When photographing forms, ensure that they are well lit and that all text is visible and legible. Photographs of forms that cannot be ready will need to be resubmitted. The same applies if you are providing photographs of your ID, Insurance Card, or other documents.
Each document must be submitted as a separate file. ALL documents must be uploaded to Submittable before you will be able to submit them to MCNCE. If you do not have all your documents signed and ready to upload at one time, you may save your Submittable form and return to complete your uploads at a later date.
Following are the documents that you must upload. PLEASE READ THE INSTRUCTIONS CAREFULLY. Click each document to download.
1. Onboarding Paperwork Checklist (You do not need to sign or submit this document. It is provided for your reference)
2. AmeriCorps College Coach Letter
3. AmeriCorps Member Agreement Certification
4. AmeriCorps Health Plan and Childcare Options
5. Healthcare ID (If you elect Option 1 or Option 2 on your “AmeriCorps Health Plan and Childcare Options” form, you must provide proof of insurance, such as a healthcare ID card)
6. Relocation Authorization Form (Only submit this form if you are relocating at least 50 miles to serve)
7. AmeriCorps Training Accommodations Form
8. University of Montana Personal Information Form (Sign at the bottom of Page 1. Do not submit Page 2 unless applicable)
9a. Federal Form I-9 (Complete and sign only page 1. Bring the original form to your first day of service)
9b. Upload a copy of one item from list A (found on Form I-9 page 3); or a copy of one item from list B -AND- one item from list C. Bring the document(s) you upload to your first day of service. For example, if you upload a driver’s license (list B) and social security card (list C), bring the original documents. If you upload a passport (list A), bring the original. Etc.
If you are NOT providing a PASSPORT, it is STRONGLY recommended that you provide a BIRTH CERTIFICATE as your List C document. In order to satisfy AmeriCorps requirements of citizenship verification, MTCC must receive a copy of your Passport OR Birth Certificate before your start-date.
10. Federal Form W-4 (Upload only Page 1. MCNCE will complete the Employer Information section.)
11. Montana Form W-4 (Upload only Page 1. MCNCE will complete the Employer Information section.)
13. Designated Decedent’s Warrant
14. Statement of Service Registration (Only submit this form if you are a male born on or after July 1, 1975)
15. Federal Form W-9 (Upload only Page 1. NOTE: This form is for travel reimbursements that may be taxable.)
16. Direct Deposit For Travel Expenses (This form is for travel expenses related to trainings, which requires a direct deposit request separate from item 10)
Answer Email from UMjobs@mso.umt.edu (or from docusign.net)
Within a few days (or a few weeks if your start date is a month or more away) of completing your hiring paperwork, you will receive an email from the University of Montana. The message will look similar to the image on the right, and may come from either UMJobs@mso.umt.edu or Docusign.net.
Follow the instructions in the email as soon as possible in order to complete the hiring process and to ensure that you receive your first living allowance on time.
Create your my AmeriCorps account & accept your invitation to serve
In order to be matched to your service site, access your education award, and request student loan forbearance, you will need to create a profile at myamericorps.gov. For individuals who have already created My AmeriCorps accounts, you may disregard the first three steps.
Step 1) Head on over to https://my.americorps.gov/mp/login.do.
Step 2) Select, “Register to create a new Member/Alum account”.
Step 3) Follow the steps to create your account. If you have technical issues, contact the National Service Hotline at 1-800-942-2677.
Step 4) Keep an eye on your inbox. In the weeks leading up to your start date, you will receive an “Invitation to Serve” from My AmeriCorps. Follow the steps in that message to accept the invitation and have your service term appear on your member profile.
National Service Criminal History Checks
All AmeriCorps members must pass a National Service Criminal History Check (NSCHC) prior to their start-date. The NSCHC process has been implemented by AmeriCorps to ensure the safety of the vulnerable populations served by members.
Truescreen Process:
- You will receive an email from applicationstation@truescreen.com once Montana Campus Network for Civic Engagement has processed the onboarding paperwork you have uploaded to Submittable.
2. Create an account through the link provided in the email.
3. Submit a digital signature by using a computer mouse or your finger on a touch screen device.
4. Upload a scanned copy or photograph of a government issued photo ID.
All offers of employment are contingent upon the successful completion of the NSCHC process.
UM Human Resources and I-9 Completion
On your first day of service, you will visit University of Montana Human Resources where a final review of your onboarding paperwork will occur and your identity will be verified for Federal Form I-9.
You are strongly encouraged to bring printed copies of all of your onboarding paperwork to your Pre-Service Orientation, which will expedite the process if corrections are needed by Human Resources.
You are required to bring the original documents that you will use to verify your identity for Federal Form I-9. Copies will not be accepted.
Important: Your start date will be delayed if you are unable to complete all paperwork with Human Resources on or before your first day of service.
AmeriCorps members who already reside in Missoula may be contacted to schedule an UM Human Resources appointment before their first day of service. Doing so helps to speed the process along for everyone on their first day!
Pre-service orientation and start of service
Your service will begin with a Pre-Service Orientation (PSO)! PSO may contain both virtual and in-person components; however, you will be required to visit University of Montana Human Resources on or before your first day to complete the onboarding process. (For members serving outside of Missoula, lodging and travel arrangements will be provided). Please keep your original paperwork to bring on your visit to Human Resources.
Before your first day of service, please speak with your Site Supervisor to learn when and where you should arrive. Keep an eye out for more details as PSO approaches. We can’t wait to meet you!
